Veritas’ Privacy Notice.

This notice describes how we collect and use personal data about you, in accordance with the General Data Protection Regulation (GDPR), 2018 and any other national implementing laws, regulations and secondary legislation, as amended or updated from time to time, in the UK (‘Data Protection Legislation’).

The following information is designed so you can understand our practices regarding your personal data and how we will treat it.

Why we hold personal data.

At Veritas we hold personal details of candidates and clients that we have spoken with or would like to speak with, in relation to specific employment opportunities.

Initially data is obtained from a number of sources; Internet, LinkedIn, Job boards and via referrals and recommendations. We also meet people at networking and relevant industry events.

We save details in a specialist recruitment CRM that allows us to store contact information in a simple and clear format. In addition to any personal documents that we might hold (CV’s), we are able to make notes of our contact and conversations. This allows us to build trusted and meaningful relationships over time.

 

What we do with personal data.

The personal data that we hold allows us to develop good understanding of the people that we deal with. We have the ability to categorise records so that we can effectively search for them at a future time.

Specific searches are carried out when we have a requirement assignment that we are looking to resource. Once we put together internal shortlists, we make contact via phone and email. We then discuss things in details with individuals and establish if they would like to be considered for the opportunity that we are recruiting at the time.

The personal data we hold is for internal purposes only and is not accessible by any 3rd parties.

Personal data is only ever sent to anyone external to Veritas when explicit consent is given by the owner of that data. For example, once a candidates has expressed that they would like to be put forward for a position, we will send their CV to the person who is in control of recruitment at the hiring company.

We constantly review the data we hold, catching up regularly with contacts. Should any contact wish to be removed from our database and thus not contact by us in the future, we remove any records that we hold related to them.

 

How we store personal data.

Data that we hold is stored securely on a cloud based system. Access to our database is restricted to approved users. The database is only accessible on completion of a 2 stage authentication process.

No physical copies of data are held or duplicated anywhere else.

The database is mainly accessed through desktop computers at our registered office.

The other access to the database is through company laptops. In order to safeguard data to the highest levels possible, both our desktop PC’s and laptops have been encrypted.

 

Information Requests

Should a candidate or client contact wish to see the data that Veritas holds about them, we can process the request, accurately and without delay.

In addition to detailing the information that we hold on a candidate or client contact, we are able to issue a record of every document which has been sent from the system, including when and who it was sent to.

The right to erasure is also known as ‘the right to be forgotten’.

To ensure compliance, when records are deleted from our database – all data is permanently removed from our servers (including documents, notes and journals etc.).

The only information that remains is an entry in our system log, which is required to keep an accurate audit trail for GDPR purposes.
